Accounts and access
Caregiver accounts may be created in the mobile app. Staff accounts are invite-only and organization-managed. You must provide accurate account information, keep credentials secure, and notify us or your school administrator if you suspect unauthorized access.
A user may access only the children, classrooms, schools, reports, photos, messages, and records they are authorized to see. Attempting to access another child’s or school’s records without authorization is prohibited.
School and caregiver responsibilities
Schools are responsible for configuring staff roles, classroom access, family invitations, consent requests, uploaded records, communications, and use of KidVance within their legal and professional obligations.
Caregivers are responsible for providing accurate information, confirming their authority to act for a child, and using child records only for lawful family, educational, developmental, or care coordination purposes.
Consent authority
Some workflows depend on caregiver consent, school authorization, or professional review. Users must not submit consent, publish photos, invite caregivers, or share records unless they have the right authority to do so.
KidVance can record consent decisions and access history, but the school, organization, or caregiver remains responsible for determining whether a consent or legal basis is valid in their jurisdiction.
User content and records
Users may add messages, notes, photos, observations, screening answers, daily records, reports, and other content. You retain responsibility for content you submit and must make sure it is accurate, appropriate, and authorized.
By submitting content, you allow KidVance to store, process, display, transmit, and secure that content as needed to provide the service and support authorized users.
Prohibited conduct
You may not use KidVance for unlawful, abusive, deceptive, discriminatory, harassing, exploitative, or unsafe activity.
KidVance has zero tolerance for child sexual abuse or exploitation, child sexual abuse material, grooming, trafficking, sexualized content involving minors, or any content or conduct that endangers a child. We may remove content, suspend accounts, preserve evidence, and report to appropriate authorities when required or appropriate.
- Do not upload records, images, or messages you are not authorized to share.
- Do not attempt to bypass role-based access, audit controls, consent controls, or school settings.
- Do not use KidVance to provide emergency, crisis, or medical diagnosis services.
- Do not reverse engineer, scrape, overload, interfere with, or misuse the service.
Developmental information is not a diagnosis
KidVance may support screenings, scoring, structured observations, reports, and AI-assisted drafts. These tools support professional and caregiver workflows; they do not diagnose, prescribe treatment, or replace clinical, educational, or legal judgment.
Families should consult qualified professionals for medical, developmental, educational, or mental-health concerns.
Service availability and changes
We may update, improve, limit, suspend, or discontinue parts of KidVance. We try to preserve important records and provide a reliable service, but we do not guarantee uninterrupted availability.
We may suspend or remove access when necessary to protect children, users, schools, the service, or legal compliance.
Account removal
Caregivers can delete their account from the mobile app. Staff accounts are removed or deactivated by school administrators. Some school-owned or legally retained records may remain as described in the Privacy Policy.
Users who cannot access the app may request account deletion through the Support page or by emailing kidvance.app@gmail.com.
Third-party services
KidVance uses service providers for infrastructure, authentication, storage, email delivery, monitoring, AI-assisted draft support, and related operations. Use of KidVance may involve those providers processing data as described in the Privacy Policy.
Changes to these Terms
We may update these Terms as KidVance changes or legal requirements evolve. Continued use after an update means you accept the updated Terms.
