Who uses KidVance
KidVance is used by caregivers, school staff, school administrators, counsellors, specialists, and invited organization users. A caregiver may create a mobile account. Staff accounts are invite-only and are managed by the school or organization.
Schools and organizations are responsible for deciding which staff may access a child record, which families should be invited, and what consents or school policies apply to their use of KidVance.
Information we collect
We collect account information such as name, email address, authentication identifiers, preferred language, role, school membership, and support communications.
Caregivers and schools may add child information such as name, date of birth, classroom, caregiver relationships, school enrollment, attendance, absences, daily records, photos, messages, announcements, consent decisions, developmental screening responses, structured observations, reports, referrals, and related school records.
Some child development, health, disability, behaviour, consent, and school-support information may be sensitive under applicable law. Access to those records is limited by role, school membership, caregiver relationship, and consent status.
How we use information
We use information to provide the mobile app and school portal, authenticate users, maintain role-based access, connect caregivers with schools, display school updates, run developmental workflows, generate reports, route messages, manage consent, provide support, secure the service, and keep audit records.
KidVance is a coordination and recordkeeping tool. It is not a medical diagnosis service, emergency service, or substitute for professional judgment by schools, clinicians, or caregivers.
AI-assisted draft support
Some professional workflows may use AI-assisted draft support to help an authorized counsellor or specialist prepare a plain-language summary from selected screening or observation context.
AI-generated drafts are for human review. They should not be treated as a diagnosis, final report, or automated decision. Caregiver-visible reports should be reviewed and approved by an authorized professional before sharing.
Sharing and service providers
We do not sell personal information and we do not use child data for advertising. We share information only as needed to operate KidVance, follow school or caregiver instructions, comply with law, protect safety, or provide support.
Information may be processed by service providers that support hosting, authentication, database storage, file storage, email delivery, app infrastructure, monitoring, AI draft support, and customer support. These providers are used only to operate and secure KidVance.
Within KidVance, authorized caregivers may see records for children they are connected to. Authorized school staff and specialists may see records for children in their organization when their role permits it.
Photos, messages, and child records
Photos, messages, reports, and classroom updates may identify a child, caregiver, teacher, classroom, or school. Schools are responsible for ensuring they have the right consent and authority before uploading or publishing school records.
Caregiver access can be child-specific. Where a child is connected to a school, some school-owned records may remain available to the school even if a caregiver later deletes their personal account.
Retention and deletion
Caregivers can delete their account in the mobile app from Settings. Account deletion removes login access, anonymizes caregiver profile data, revokes caregiver access, and deletes family-only child profiles when the deleting caregiver is the last active caregiver.
School-connected records may be retained for operational, safety, audit, legal, or school-record continuity. Staff accounts are managed by the school administrator.
People who cannot access the app may request account or data deletion through the Support page or by emailing kidvance.app@gmail.com.
Security
KidVance uses authentication, role-based authorization, row-level access controls, non-public storage for private files, audit trails, and operational safeguards to reduce unauthorized access.
No online service can guarantee perfect security. Users should protect account credentials and notify us promptly if they believe an account or child record has been accessed improperly.
Children’s privacy
KidVance is built around child records, but it is intended to be used by caregivers and authorized school or specialist users. Children should not create accounts or submit information directly unless a school and caregiver have separately approved an appropriate workflow.
Where laws such as COPPA, FERPA, state student privacy laws, GDPR, or KVKK apply, schools and caregivers remain responsible for their own notices, consents, and legal bases. KidVance supports those workflows but does not replace legal review by a school or organization.
Your choices and rights
Depending on where you live, you may have rights to access, correct, delete, object to, or restrict certain personal data. You may also have rights to information about processing and transfers.
To exercise privacy rights, request account deletion, or ask a question, email kidvance.app@gmail.com. We may need information to verify your identity and relationship to the relevant child or organization before acting on a request.
Changes to this policy
We may update this policy as KidVance changes or legal requirements evolve. Material changes will be reflected on this page, and where appropriate, communicated through the app, portal, or school channels.
